About the Job
The SALT Administrative Assistant is responsible for providing a wide range of administrative support to the state and local tax (SALT) department including partners, managers and staff. Candidate must have the ability to multi-task, prioritize workload, take on projects with minimal supervision and be proactive in identifying tasks.
Tasks:
Ø Prepare and format correspondence. Examples include letters, proposals, engagement letters, memos and meeting agendas
Ø Prepare expense reimbursement reports
Ø Compile monthly SALT financials
Ø Schedule conference rooms and meeting space
Ø Maintain partners’, directors’ and managers’ calendars
Ø Schedule meetings (including sending meeting invitations, room set up, ordering food or making reservations (if required), room clean-up
Ø Provide phone coverage for the office receptionist as needed
Ø Assist with travel arrangements
Ø Miscellaneous administrative duties such as answering incoming calls to partners and directors, copying and scanning documents, and renewing memberships and subscriptions
Profitability:
Ø Track and report time spent on client projects
Ø Consistently utilize all firm and department software efficiently
Ø Involvement with internally focused projects to improve procedures by participation in committees, technical training, HR initiatives and other firm related projects
Ø Actively seek work from SALT Partners, Directors, and Senior Managers
Ø Complete assignments efficiently and work to increase overall quality

Work Experience and Education:
Ø 3 – 5 years of administrative experience
Ø Strong proficiency in the use of technology and PC applications, including but not limited to, Microsoft applications(Word, Excel, PowerPoint and Outlook)
Ø Excellent attention to detail and a customer focus
Ø Great communication skills
Ø Experience in a service firm environment is a plus
