We currently have a career opportunity for a Client Serving Associate.

Position Summary:
This position has responsibility for the planning, coordination and execution of client events in the Tax service line.
This position will work with Tax leadership to manage the marketing plan and budget, event support and execution, create collateral, maintain InterAction updates for contacts, activity and opportunities;
pipeline reporting, market research and presentation preparation.
This position will also act as the project manager for department projects and initiatives. Must follow firm, business unit and department policies,guidelines and procedures.

Essential Functions of the Job:
Effectively, consistently, and seamlessly deliver innovative meetings and events that add to the success of the meeting’s objectives, maximize value for the firm and optimize the meeting’s budget.

Work with Business Development executives, Tax Practice leaders and others to
coordinate and plan meetings.

Work with meeting sponsor to understand needs and requirements and provide value-based solutions.

Serve as the liason for the meeting sponsor and Meeting & Events Services to negotiate rates and contract terms to obtain cost savings for the firm.

Works with Creative Services to develop and distribute information to meeting or event participants (e.g. invitations, logistics, etc.)

Manage staff and or
internal clients (at an event) through attendee registration process.

Prepare and manage initial and final budget for meeting expenses (i.e., rooms, food, equipment,outside speakers, etc.).

Manage all logistical aspects of the meeting and make certain that all contract points are being met during the meeting. Travel to on-site location as necessary.

Oversee arrangements for event production and on-site technology through Americas Communications and National Technology Support.

Conduct and/or review initial audit of hotel and related invoices.
Oversee payment of vendor invoices.

Prepare and communicate written logistical specifications of meeting to meeting venue.

Follow-up on customer satisfaction surveys.

Participate in teams for initiatives/projects.

Conduct site research and make recommendation on meeting location.

Manage meeting related information in the group meeting tracking system.

Analytical/Decision Making

Responsibilities:
Minimal risk decision making with little to no supervision.

This individual makes recommendations to internal clients regarding location, budgeting and logistics of Area and national meetings.
May also recommend solutions and partner with a senior M&ES planner regarding specific aspects of a large National meeting.

Knowledge and Skills Requirements:
Knowledge of meeting industry software, including web registration applications.

Excellent communications skills.

Ongoing attention to detail and strong organizational skills are essential.

Must have entry- to mid-level meeting planning skills and experience.

Strong teaming skills.

Must be able to manage multiple tasks.

Must be experienced with all Microsoft Office Tools.

Supervision Responsibilities:

Minimal financial responsibility.

Occasional lead planner on meetings/events.

Work on relationship management with direction and supervision.

Receives minimal supervision from a senior planner in Meeting & Event Services.

Responsible for prioritizing daily work and reporting back progress on assigned responsibilities.

Responsible for communicating directly with internal client regarding specific meetings.

Other Requirements:

Overtime may be required
based on volume of work or scheduling.

Vacation should be
planned in advance and not taken during peak meeting periods.

Moderate amount of travel
is required.

On-site meeting support may required extended hours of work and
ability to move quickly to multiple function locations.

To qualify, candidates must have:

Bachelor’s degree or equivalent

Experience:
Approximately 3-5 years of
related experience.
